What Is WhatsApp Business API and How Does It Work?

What the WhatsApp Business API is, how it works behind the scenes, the 24-hour window and templates, what it costs, and how businesses use it.

The WhatsApp Business API, now officially part of the WhatsApp Business Platform, is Meta's way for businesses to run WhatsApp from software instead of a phone. It is what lets a team of people answer one number, a chatbot reply at 2 am, and a store send order updates automatically.

What it is

The API is a connection between your business software and WhatsApp. Messages from customers arrive in your software instead of a phone, and your software sends replies back. Customers see nothing different: they use WhatsApp exactly as before and see your business name.

Most businesses do not build on the API directly. They use a platform that provides the inbox, chatbot, AI and campaign tools on top of it.

How it works, step by step

  1. You register a phone number on Meta's Cloud API, under your Meta business portfolio.
  2. A platform connects to that number with credentials from Meta.
  3. When a customer messages the number, Meta sends the message to the platform, which shows it in your inbox or passes it to a chatbot.
  4. Your reply goes from the platform to Meta, and Meta delivers it to the customer.
  5. Delivery and read receipts come back the same way, so you know what was delivered and read.

The 24-hour window and templates

Two rules shape everything on the API:

  • Customer service window: when a customer messages you, you can reply with ordinary messages for 24 hours. Since October 2026 these replies are charged as service messages after 1,000 free ones a month per number.
  • Templates: to start a conversation or message someone outside that window, you use a template Meta has approved. Templates are marketing, utility or authentication.

These rules exist to stop spam, and they are why numbers on the API are much less likely to be banned than bulk sender tools. See WhatsApp bulk messaging without getting banned.

What it costs

Meta charges per delivered message, at a rate set for the customer's country. Since 1 October 2026 that includes replies inside the 24-hour window, after 1,000 free ones a month per number. The platform charges a subscription for the software. The full breakdown is in WhatsApp Business API pricing.

What businesses use it for

  • Support: a shared inbox where a team answers one number, with an AI assistant for repeat questions.
  • Sales: capturing leads from ads and following up, tracked in a WhatsApp CRM.
  • Marketing: campaigns to opted-in customers.
  • Commerce: product catalogs, orders taken in chat, COD confirmation and delivery updates.
  • Notifications: reminders, one-time passwords and account alerts.

How to get started

You need a Meta business portfolio, a phone number that is not active on the WhatsApp app, and a platform. Business verification raises how many customers you can message each day. The full process is in how to get the WhatsApp Business API, and the difference from the free app is in WhatsApp Business API vs the Business app.

Frequently asked questions

Is the WhatsApp Business API the same as the WhatsApp Business app?

No. The app is installed on a phone and suits one person. The API is used through software and suits teams, automation and integrations.

Do I need a developer to use the WhatsApp Business API?

Not if you use a platform. The platform handles the connection; you work in its inbox and settings.

What is the Cloud API?

Meta's hosted version of the WhatsApp Business API. It is the standard way to access the API today.
