Getting the official WhatsApp Business API is not difficult, but it has more steps than downloading the WhatsApp Business app, and most delays come from the same few mistakes: using a number that is still on the app, a display name Meta rejects, or verification documents that do not match the business name. This guide walks through the process in order.
Before you start: do you need the API at all?
If one person answers a few dozen chats a day, the free WhatsApp Business app is fine. You need the API, or a platform on top of it, when several people must answer the same number, when you want a chatbot or AI to reply, when you send campaigns to hundreds or thousands of customers, or when orders need to connect to your store. Step 1: Create a Meta business portfolio
Go to Meta Business Suite (business.facebook.com) and create a business portfolio, which used to be called a Business Manager. Use the business's legal name exactly as it appears on your registration or tax documents, and a business email address rather than a personal Gmail where you can. If you already run Facebook or Instagram ads, you probably have one; use that rather than creating a second.
Step 2: Choose the phone number
The number can be any mobile or landline, in any country, that can receive an SMS or voice call for verification. The rule that catches people out:
- A number can be on the WhatsApp app or on the API, not both. If the number is on WhatsApp or WhatsApp Business on a phone today, you must delete that WhatsApp account first. Back up the chats, because they do not move across.
- Many businesses keep their well-known number on the app for now and put a new number on the API, then move the main number later once the team is comfortable.

Step 3: Pick a display name Meta will approve
The display name is what customers see. Meta reviews it, and rejects names that do not clearly match the business. Use your brand name as it appears on your website, signboard or social pages. Avoid generic names ("Best Clothes Pakistan"), extra words ("Official", "Support"), unusual capitalisation, and emojis. A small business with a website and an active Facebook page that use the same name gets approved much faster.
Step 4: Connect through a platform
You can register the number directly in Meta's developer tools, but most businesses do it through their platform so the inbox, chatbot and campaigns are ready the moment the number is live. Step 5: Verify the business with Meta
Business verification, in the Security Centre of your business portfolio, raises your daily limit and is required before you can apply for the green tick. Meta asks for documents that show the legal name, and sometimes the address or phone number: a business registration certificate, a tax registration, or a utility bill or bank statement in the business name. For a business in Pakistan, for example, these are typically:
- A certificate of incorporation from the SECP for a private limited company, or a partnership deed or registration certificate.
- An NTN certificate or other FBR tax registration in the business name.
- A utility bill or bank statement in the business name showing the address.
- A website on a domain that matches the business name helps, and some verification routes use an email at that domain.
The single most common reason for rejection is a mismatch: the name in the business portfolio is spelled differently from the documents. Make them identical before you submit.
Step 6: Create your first templates
To message a customer who has not written to you in the last 24 hours, you need an approved template. Start with the ones you will use every day:
- An order confirmation for cash-on-delivery orders (utility).
- A shipping or out-for-delivery update (utility).
- A payment or appointment reminder (utility).
- One marketing template for sale announcements.
Templates written as utility but reading like promotions get recategorised as marketing, which costs more. Keep utility templates strictly about an order or account the customer already has. Costs are explained in WhatsApp Business API pricing.
Step 7: Set up the team and automation
- Add each staff member with the right role, so sales, support and dispatch see what they need.
- Load your price list, FAQs, delivery charges and return policy into the AI's knowledge base, so common questions are answered in Roman Urdu or English straight away.
- Turn on COD order confirmation if you ship cash-on-delivery orders.
- Set working hours, so customers messaging at night are told when to expect a reply.
The green tick
What most people still call the green tick is now a blue verified badge, and it comes from Meta Verified for Business or an Official Business Account. Both are decided by Meta. You need a verified business on the API, and for an Official Business Account Meta looks for evidence the brand is notable, such as coverage in news outlets that is not paid for. No platform can guarantee it, so treat any offer that sells the green tick as a warning sign. It is a nice-to-have. Customers in Pakistan buy from numbers without it every day.
How long it takes
The portfolio and number can be live the same day. Display name review usually takes a day or two. Business verification depends on the documents and can take from a couple of days to a few weeks. Template approval is often minutes to hours. The fastest path is to go live with the number on day one, reply to incoming chats, and let verification finish in the background.
