"WhatsApp bulk message sender" is one of the most searched WhatsApp tools, and one of the most common ways a business loses the number its customers know. This guide explains why that happens and how to send to a large list without putting the number at risk.
Why bulk senders get numbers banned
Most bulk sender software, whether a desktop tool, a Chrome extension or a cheap "unlimited messages" package, works by automating a normal WhatsApp account. WhatsApp's systems watch for exactly that pattern:
- Hundreds of messages sent to people who do not have your number saved.
- Identical text going to everyone within minutes.
- Recipients who block the number or report it as spam.
- Messages to lists that were bought or scraped from groups.
When enough of those signals add up, the number is restricted or banned. There is no appeal that reliably brings it back, and every customer who had it saved now has a dead contact. For a business whose number is printed on bags, receipts and ads, that is expensive.
The official way: the WhatsApp Business API
Meta built the WhatsApp Business API (Cloud API) precisely so businesses can message large numbers of customers legitimately. The rules are straightforward:
- Opt-in. Only message people who have agreed to hear from you, for example by messaging you first, ticking a box at checkout, or scanning your QR code.
- Approved templates. Messages that start a conversation use templates Meta has approved in advance.
- Messaging limits. A new number can start conversations with a limited number of customers per day. The limit rises automatically as you send messages people do not block or report, and business verification raises it further.
- Quality rating. Meta rates each number on how recipients react. Keep blocks and reports low and the number stays healthy.
Messages on the API are charged per template by Meta. WhatsApp Business API pricing explains the cost.
How to build an opted-in list
- Every customer who messages you is a contact you can follow up with. A shared inbox saves them automatically.
- Add a WhatsApp opt-in checkbox at checkout on your Shopify or WooCommerce store.
- Put a WhatsApp QR code and chat link on packaging, receipts, your shop counter and your website.
- Run Click-to-WhatsApp ads on Facebook and Instagram. Every person who starts a chat from an ad is a new contact, and the first 72 hours of that conversation are free.
- Collect details with a WhatsApp form inside the chat, instead of sending people to a website.
Do not upload numbers from WhatsApp groups, old Excel sheets of unknown origin, or purchased lists. They generate the blocks and reports that destroy the quality rating.
Sending campaigns that do not get reported
- Segment. Send the lawn collection to people who bought lawn last season, not to all 20,000 contacts. Smaller, relevant sends get fewer blocks and cost less.
- Use their name and a reason. "Ayesha, the new lawn prints you asked about are in" performs better than a generic blast.
- Keep it short with one clear action. One offer, one link or one reply option.
- Watch the frequency. Two or three campaigns a month is plenty for most stores. Daily messages are how numbers get reported.
- Make leaving easy. Tell people they can reply STOP. Someone who opts out costs you nothing; someone who reports you costs your quality rating.
- Send at sensible hours. Late evening and after Jummah prayers usually work; 7 am does not.
What a campaign tool should give you
- Segments by tag, purchase history or lead stage.
- Scheduling, so a campaign goes out at the right time without someone pressing send.
- Delivery and read reports per campaign.
- Replies landing in a shared inbox, so a customer who answers "price?" gets an answer instead of silence.
- Follow-up drip sequences that stop automatically when the customer replies.
Xenwap's bulk messaging and campaigns run on Meta-approved templates to segmented, opted-in contacts, and every reply comes back into the same inbox your team and the AI already work from. See all features for how it fits together, or pricing for the plans.
If your number has already been banned
Use the appeal option in the WhatsApp app and explain that the number is used for business. Some restrictions are lifted, some are not. Either way, move future campaigns onto the API with an opted-in list, and put your new number everywhere the old one appeared.
Frequently asked questions
Is WhatsApp bulk messaging legal in Pakistan?
Sending marketing to people who have not opted in breaks WhatsApp's own terms, which is why numbers get banned. Sending approved templates to opted-in customers through the official API is how WhatsApp intends businesses to message at scale.
How many messages can I send per day on the API?
Meta sets a daily limit on how many customers a number can start conversations with. It starts low for new, unverified businesses and increases automatically as you send good-quality messages and verify the business. Replies to customers who messaged you do not count against it.
Can I send bulk messages from the WhatsApp Business app?
The app has broadcast lists, but they only reach people who have your number saved, and heavy use from the app is exactly what triggers bans. For regular campaigns, use the API.
What does it cost to send a campaign?
Each delivered marketing template is charged by Meta at the Pakistan rate, plus your platform subscription. Replies from customers and your answers within 24 hours are not charged.
