Both are official products from Meta, and both put your business name on WhatsApp. They solve different problems. Choosing the wrong one either leaves a growing team stuck on one phone, or has a small shop paying for tools it does not need yet.

WhatsApp Business App
The app adds a business profile, a catalog, quick replies, greeting and away messages, and labels on top of regular WhatsApp. It can be linked to a few additional devices, such as WhatsApp Web on a laptop. For a shop owner handling their own messages, it is often all you need.
Where it stops: there is no real assignment of chats between people, no reporting, broadcasts only reach people who saved your number, and automation is limited to simple auto-replies.
WhatsApp Business API
The API is the same WhatsApp network, but accessed through software rather than a phone. You use it through a platform that provides the shared inbox, chatbot, AI and campaign tools. It adds:
- Any number of team members on one number, with chats assigned to people.
- Chatbots and AI that reply automatically.
- Approved message templates, so you can message customers outside the 24-hour window, for order updates, reminders and campaigns.
- Integrations with your store, CRM, Google Sheets or anything with a webhook.
- Reports across the whole team.
What it costs
The app is free. The API has two costs: Meta's per-message charge for template messages, and the platform subscription. Replies inside 24 hours of a customer's message are not charged by Meta. The details are in WhatsApp Business API pricing.
The signal that it is time to move
- Two or more people need to answer the same number.
- The same questions take hours of someone's day.
- You want to send order updates or campaigns to customers who have not messaged recently.
- Orders agreed in chat are not being recorded anywhere.
Moving a number to the API
A number can be on the app or on the API, not both. Moving it to the API means removing it from the app first, and chats do not transfer across, so back them up. A middle route: QR connect
