WhatsApp ordering system

Take the order in chat.
Run the rest properly.

Your customers already order on WhatsApp. What's usually missing is everything that comes after: which branch, what the delivery costs, who's making it, whether it got paid, and where any record of it lives.

01 — What it is

Plain definition

An order, not
a screenshot of a chat.

It's software that sits on your WhatsApp number and turns an ordinary chat into a recorded order. The customer browses your catalog inside the thread, confirms, and the order lands on a screen your staff actually work from, with the branch, the delivery fee, the payment status and the courier already attached.

01The order lives in a chat thread and nowhere else.
Every order is a record: items, totals, customer, address, and a status you can actually report on.
02Delivery charges get argued about, message by message.
Each delivery zone carries its own fee, minimum order and estimated time, matched from however the customer names their area.
03Two branches, one phone, and nobody sure which is serving whom.
Each branch holds its own address, hours and delivery rules, and the order attaches itself to the right one.
04The kitchen finds out about an order when somebody shouts.
An order board shows what's waiting, what's in progress and what's done, and a named person gets a WhatsApp alert.
05Nobody can say what was paid and what is still owed.
Payment method and status sit on the order itself, and awaiting-payment is a stage you can filter and chase.
06The same menu gets typed out twenty times a day.
A catalog with categories, variants and paid extras answers it, and the AI works from that same catalog.
07At the end of the week there is no number to look at.
Daily orders, orders by stage, order value, best sellers, and a delivered-versus-waiting split.

02 — How it works

Five stations

From “hello”
to delivered.

Nothing to download and no checkout to learn. The customer never leaves the thread they were already typing in.

  1. 01

    The customer messages your number

Scan a QR code to connect the number your customers already have, or wire up the official Meta Cloud API. Either way there's nothing for them to download.

  2. 02

They see the menu without anyone typing it

Your catalog answers it. Product cards carry the photo, price and options, and the AI handles follow-ups about what's available today from that same data.

  3. 03

The order is captured with its details

Items, quantity, paid extras, address, branch and delivery zone all get recorded together, along with whatever fee and timing that zone carries.

  4. 04

It lands on the order board and on someone’s phone

The board shows what's waiting and what's in progress, a printable ticket goes out to the floor, and whoever you nominated gets a WhatsApp alert.

  5. 05

It moves through to delivered, and gets counted

Confirmed, dispatched with a courier, completed or cancelled. Payment status travels with it, and the day's numbers are waiting for you without anyone building a spreadsheet.

03 — The operations layer

The part most tools skip

Where WhatsApp tools
usually stop.

Plenty of tools can take a message. Far fewer know which branch is open right now, what that delivery area charges, whether the money came in, and who needs telling about it this minute.

Branches

More than one location on one account, each with its own address, phone, and opening hours.

Delivery zones

Per-area delivery fee, minimum order, and estimated minutes, with aliases so customers can name the area their own way.

Opening hours

Automation knows when you are actually open, so customers are told rather than left waiting.

Payment status

Payment method and status on every order, with awaiting-payment as a stage you can work from.

Live order board

A screen built to sit open on a counter, showing waiting, in progress and done.

Printable tickets

A formatted ticket printed straight from the dashboard, no separate point-of-sale system needed.

Courier tracking

Courier, delivery address, and estimated minutes recorded against the order as it moves.

WhatsApp alerts

A named person gets a WhatsApp alert when an order arrives, rather than it landing on a dashboard nobody is watching.

Running deals

Offers with a start and end date. While one is running the AI knows about it and can bring it up in conversation.

Sales reporting

Daily orders, orders by stage, order value, best sellers, and a per-agent sales leaderboard.

04 — Who it fits

Order-taking businesses

Built for anyone who
takes orders in chat.

If your customers open with a message and follow it with a question about price, stock or delivery, this is built for you.

  • 01

    Restaurants, cafés, and cloud kitchens

Menu in the thread, order on the board, ticket on the pass, and a delivery fee that matches the area rather than getting argued about.

  • 02

    Bakeries and dessert shops

Same-day availability, paid extras like a message on the cake, and a clear picture of what is still awaiting payment.

  • 03

    Grocery and retail shops

A catalog customers can browse without a website, with stock levels and categories behind it.

  • 04

Online stores taking orders in chat

Shopify, WooCommerce or Magento products sync in, so orders agreed in a conversation stop living outside the system.

  • 05

Pharmacies and clinics taking supply orders

A recorded order with an address and a named owner, not a repeat request buried in chat history.

  • 06

    Any multi-branch business

One number and one team, with the right branch, its hours and its delivery rules attached to each order.

Tell us how orders reach you today, messy parts included. That's the conversation that actually shows whether this fits.

Talk to us
01Do customers need to install anything?

No. They message your WhatsApp number the way they already do. Nothing to download, no account to create, no checkout to learn.

02How quickly can we start taking orders?

With the QR connection, minutes. Scan a code from the phone that already holds the number, load your catalog, set your delivery areas. The Cloud API route takes longer, but only because it waits on credentials from Meta Business Manager.

03Does this replace our point-of-sale system?

It doesn't try to. It covers the order from the conversation through to delivered and prints a ticket for the floor, so plenty of businesses run it without a separate point-of-sale system. If you already have one, this sits alongside it as the ordering channel.

04Can we run more than one branch?

Yes. Each branch carries its own address, phone, opening hours and delivery zones, and every order attaches to the branch serving it.

05How are delivery charges handled?

You define the zones yourself, each with a fee, a minimum order and an estimated time. Zones take aliases too, so a customer naming their neighbourhood casually still matches the right area.

06Does the AI have to take the order?

No, you choose. Rules first then AI, AI only, or rules only, and a human can take over any thread at any point. The AI answers from your catalog and your documents, not from general knowledge.

07What happens if nobody is watching the dashboard?

You nominate who gets the WhatsApp alert when an order arrives, so it reaches a person instead of sitting on a screen in an empty office.
