WhatsApp Order Tracking: Shipping Updates Customers Read

Which order and shipping updates to send on WhatsApp, how templates and the 24-hour window affect them, and how to handle the replies they generate.

An order confirmation email sitting in a promotions folder reassures nobody. The same update on WhatsApp is usually seen within minutes, because that is where the customer already is. Done well, order updates cut "where is my order?" messages and failed deliveries. Done badly, they are one more notification people mute.

The updates worth sending

  1. Order received: what they ordered, the total and the delivery address, so mistakes are caught early.

  4. Out for delivery: so someone is home with the cash ready.
  5. Delivered: with a thank-you, and later a review or feedback request.

Skip updates that do not change anything for the customer, such as "your order is being packed". Five useful messages beat ten noisy ones.

Templates and the 24-hour window

On the official WhatsApp Business API, a business can send any message within 24 hours of the customer's last message. Outside that window it must use a template approved by Meta. Order and shipping updates are utility templates, which cost less than marketing ones, and are free when sent while the window is open.

  • Write templates strictly about the order. A dispatch update that also advertises a sale gets classed as marketing.
  • Use variables for the name, order number and tracking link.
  • Submit templates once and reuse them for every order.

A number linked by QR scan does not use templates, but the same rule of thumb applies: keep updates short and relevant.

Let the customer reply

An update sent from a no-reply system turns "will it arrive before Friday?" into a phone call. Send updates from the same number your team answers, so replies land in the shared inbox, or get answered straight away by an AI assistant that knows your delivery policy.

Connect it to the order, not a spreadsheet

Updates only go out reliably when they are tied to the order's status. If orders come from Shopify or WooCommerce, sync them into the inbox so the order and the chat sit on the same customer record. Orders taken in chat should be logged the same way. Order status changes can also be sent to other systems through webhooks.

Measure the effect

Track "where is my order?" messages per 100 orders before and after, and the share of deliveries that fail because nobody was home. Those two numbers show whether the updates are working.
